Sometimes when you're just getting started with Mana, your members may have already paid through your old system or by invoice. But you still want them to be able to book classes or train right away.
That's where free periods come in handy.
This guide walks you through how to give someone access to a membership now, but delay when they start paying.
Before You Start
Make sure the membership types you want to assign are already created. If not, do that first in Admin Console > Memberships.
If the user isn’t in the system yet:
Go to Admin Console > Users
Click "Add user"
Fill in their details
Choose if you want to send an invite now (tick or untick the box)
🧠 Tip: You can always invite them later if you prefer.
Step 1: Assign the Membership
In Users , search for and select the person you want to add a membership for
Scroll down to "Add Membership" and choose the correct one
Start Date : When they should be able to start booking or using the gym. In this example, we'll set it to 2026-01-01
End Date (optional): If you want it to end on a specific date
Commitment Period (optional): Add this if you want a commitment time
Click Save
Step 2: Add a Free Period
After saving, scroll down slightly and you'll see a preview of the upcoming payments.
Right now, Mana is planning to charge the member starting January 1st, 2026 — but we want January to be free.
Here's how:
Under "Price Modifications" , click "Add new"
Select "Price override"
Set the new price to 0 SEK (or EUR)
Set the active period of the free price:
Active from: 2026-01-01
Active until: 2026-01-31
Leave the other fields as they are (ignore "disable membership" and "priority")
Click Save
Step 3: Review Payment Preview
Now scroll down and check the updated preview:
January is free: 0 SEK
First payment will be automatically charged by Mana on January 27th (for February)
That’s It!
This is a smooth way to give your members access immediately without worrying about double billing. Perfect for transitions or special campaigns.
And of course, you can set any free period you want — not just January. It all depends on the dates you choose.
Need to do this for multiple users? Just repeat the steps. You’ve got this!
