This guide shows you how to export your customer list from Mana and open it correctly in a spreadsheet so every column lines up. You can use it to filter and segment your members, then quickly copy a clean list of email addresses for newsletters, campaigns, and one‑off reach‑outs—while keeping your original data intact.
Note: Mana exports as a CSV file to keep all the data intact. Sometimes it requires a few extra steps to make the data manageable.
Export from Mana
First you need to export your data from Mana
Go to Users in the Mana Admin.
Click the three dots (top‑right) → Export users.
Your file will be downloaded to your “downloads” folder unless otherwise specified.
Open in Google Sheets (recommended)
We recommend using google drive and google sheets as it is free and you can share the data to other people if needed. Usually you simply need to drag and drop the file to google drive and it will automatically be converted so that you can use it. If that is not the case you can:
Go to Google Sheets → open a Blank spreadsheet (or stay in the sheet you are in)
Go to: File → Import → Upload → choose your member export file
Import location: Replace spreadsheet or Insert new sheet depending on your preference.
Separator type: Detect automatically. If everything ends up in one column, re‑import and choose Comma or Semicolon.
Uncheck the “Convert text to numbers, dates, and formulas”: box.
Import the data!
Quick tip for filtering the data:
Select everything: (On mac: CMD+A, On Windows Ctrl+A) and in the upper menu go to:
Data → Create a filter.
Now you can sort the data and filter as needed to create your required segments.
Open in Apple Numbers (Mac)
You can also use Apple Numbers to review the file. Usually it converts automatically. If not, follow the steps below:
Double‑click the .csv. Most files open cleanly.
If something looks off: click the table → Go to the right “Format sidebar” and scroll all the way down → Adjust Import Settings.
Set Separator to Comma and Text Encoding to UTF‑8 → Update Table.
Open in Microsoft Excel (Win/Mac)
Excel is one of the trickier services to open CSV files with and requires some manual work to get everything right. Start by opening an Excel file and go to:
Data tab → From Text/CSV → pick your file
In the preview set: File Origin / Encoding: 65001: Unicode (UTF‑8) Delimiter: Comma (or Semicolon if needed)
Click Load
